PROJECT CONTROLS ANALYST/BILLING COORDINATOR


PLEASE NOTE: MANAGER WILL ENTERTAIN PART TIME (20-30 HR) CANDIDATES AS WELL. Please let me know if you'd be interested in that option.

JOB DESCRIPTION SUMMARY
Working directly as support to the facility solutions and operations, providing overall financial controls for all capital and project related work.   Primary responsibility is to implement and update controls for all NY Capital projects. 

Key responsibilities include:

  1. Financial:
  2. Project Financial Control / Audit Activities reconciling against financial systems monthly
  3. ePIC Administrator – Maintains all ePIC system user rights and is and “expert” in use of the system
  4. Process and input of all financial project data into ePIC for FS/FME/and AM team
  5. Assist with project closeout – both financially and administratively.
  6. Develop and maintain strong working relationship with Finance, AP, FS, FME and AM Team. 

Administrative:

  1. Possess and use intimate knowledge of the PM policies and procedures related to the work of the office. 
  2. Creates and maintains a variety of reports and presentations using various software and coordinates with other departments to obtain information required. 
  3. Maintains project files in accordance with filing guidelines.  Establish, organize and maintain filing system for correspondence and other records. 
DETAILS 
  • Proficient knowledge and use of all IT applications; including but not limited to Insight, eRoom, ePIC, Business Objects, Ariba, Computron.
  • ePIC System Administration 
  • Create, modify and delete users in ePIC system 
  • Create and modify new projects in ePIC system 
  • Create and modify ePIC reports as needed 
  • Create training materials and train new users 
  • Provide one-on-one training for ePIC users 
  • Provide input for enhancements of ePIC 
  • Project Financial Control / Audit Activities 
  • Audit project financials, trouble shoot and effect corrections as needed through A/P 
  • Validate/Reconcile ePIC financial data against Business Objects and data in other financial systems  
  • Use Computron and eBUY to retrieve Purchase Orders, Invoices and Payment status for projects  
  • Differentiate between Capital and Expense costs 
  • Coordinate re-classification of project charges with Site Finance  
  • Coordinate resolution of inaccurate posting of commitments, charges, and journal entries against projects and/or department accounts with Site Finance 
  • Generate monthly Project Reconciliation Reports
  • Understand the Capital Project Appropriation (CPA) process and prepare CPA documents 
  • Support NY GO staff by logging all PO’s, invoices and journal entries into ePIC system and issuing reports 
  • Draft PO’s for NY GO staff  
  • Generate monthly NY GO capital plan progress reports 
  • Use Financial Reporting Systems to assist project engineering in tracking and managing costs 
  • Assist NY GO in evaluation of backup documentation for invoices to ensure proper charges 
  • Coordinate project controls and project information among NY stakeholders
  PREFERRED JOB RELATED CANDIDATE QUALIFICATIONS 
  • Associates Degree required, BS in Business Administration, Management Science or Construction Administration preferred. 
  • Proficiency in Microsoft Word, Excel, Outlook, Power Point and Project. 
  • Previous financial background beneficial but not mandatory. 
  • Prior experience in a construction related office environment beneficial
  • Must be a team player, multi-task oriented and able to work independently as well as possess excellent organizational and communication skills.  It is desirable for the candidate to be highly flexible and motivated with an ability to work independently as well as in a team environment.  The ability to multi-task, work well under pressure and under stringent deadlines desired.
